Job Title: Administrative Assistant

Reports To: Director of Finance & Administration

Status: Part-Time (20 hours/week)

Pay: $18/hour

Benefits: Paid Time Off, 4% 403(b) Pension

Job Description:


Working under direct supervision, the Administrative Assistant performs administrative support and clerical duties for the entire organization and/or specific departments and may assist with special projects or other department activities.

 

Essential Job Functions:

  • Serve as the “first line of response” for SOV office visitors and email/mail/phone communications; respond to general inquiries and requests for information or route to appropriate staff.

  • Provide general support to our team, including drafting correspondence and organizing/scheduling meetings, travel arrangements, and events.

  • Assist in the preparation of reports, newsletters, mailings, presentations, program materials, and other documents.

  • Assist in the coordination of fundraising and volunteer events and communication.

  • Provide office management duties to keep the office organized and running efficiently, such as ordering supplies and coordinating with outside vendors for services/repairs.

  • Organize and maintain paper and electronic files and databases.

  • Assist with other administrative tasks of SOV as needed.


Desired Qualifications:

  • Commitment to the mission of SOV, with an emphasis on social justice for people living in poverty.

  • Demonstrated experience fulfilling administrative and community relations duties.

  • Must be able to independently manage key objectives on a projected course with both set and variable timelines

  • Excellent verbal and written communicator who is able to connect to a wide variety of audiences and diverse groups. Spanish language fluency and experience working with low-income communities are highly desirable.

  • Excellent interpersonal skills including ability to work effectively with people of diverse backgrounds, ability to stay neutral and unbiased in approaching conflict, and ability to maintain professionalism under pressure as a representative of SOV.

  • Knowledge of and proficiency using Google cloud apps (Gmail, GoogleDocs, GoogleDrive), Microsoft Office Suite, and common office equipment such as copier and scanner. Experience with Adobe Creative Suite or other graphic software is desirable but not essential.

  • Relative knowledge of record keeping procedures including archival and destruction processes desirable but not essential.

  • Lives in Eugene/Springfield with ability to commute to office in Eugene.

  • Satisfactory background check by SOV

  • Must be able to lift 35 lbs regularly
